Astfast Infotech Pvt Ltd ("we", "us", or "our"), the developer of the Sigma Key Tech mobile application, is committed to protecting the privacy and security of school students, parents, and guardians. This Privacy Policy describes how we collect, use, store, and protect data through our student safety and monitoring mobile application (the "App"). The App is hosted and verified under the support domain astfast.in, and it operates as a direct extension of the school attendance management portal hosted at sigmakey.tech.

1. Account Provisioning and Authorization

To ensure student safety, there is no public self-registration or signup flow within the App. Accounts are managed as follows:

  • School Enrollment: Parent/guardian email addresses are registered directly into the school's central database via the administrator portal at sigmakey.tech.
  • Credential Delivery: A secure default temporary password is automatically provisioned for first-time login.
  • Password Update: Upon logging in, parents are required to update the temporary password to a custom secure password of their choice inside the App.
  • Authentication Flow: Login credentials are authenticated directly against the backend server database at sigmakey.tech via secure private APIs.

2. Information We Collect

The App fetches and displays data to authorized parents. The types of data processed include:

  • User Profiles: Authorized email address, account identifier, and the updated encrypted password.
  • Student Profiles: Student name, grade/class, roll number, and the assigned physical RFID (Radio Frequency Identification) card UID.
  • RFID Timestamp Logs: Real-time timestamps representing when a student or teacher scans their physical RFID card at the school's physical entry/exit gate readers. This includes historical attendance tracking records.
  • Notice Board Announcements: Notices published by school administrators, categorized into Academic updates, Event details, and Emergency Alerts.

3. How We Use the Information

We process information solely to deliver student monitoring and school communication services:

  • To display student entry and exit logs to parents in real-time.
  • To compile and display calendar-based attendance histories.
  • To send push alerts and show categorized school notices.
  • To authenticate and manage secure parent sessions via backend APIs.

4. Device Permissions

To run properly on your mobile device, the App requests the following permissions:

  • Internet Access: Required to communicate with the private APIs hosted at sigmakey.tech.
  • Push Notifications (Optional): Required to send real-time alerts when entry/exit events are recorded by school RFID gates.

5. Data Storage and Retention

All core personal data and student logs are stored on secure servers configured under the parent portal domain sigmakey.tech. The App does not permanently store attendance lists locally on your mobile device, except for temporary operational caching. Information is retained as long as the student is enrolled in the school or until the school administration deletes the records from the portal database.

6. Account and Data Deletion

We respect your right to control your personal data. Parents can request deactivation of their mobile app login profile and deletion of their associated app user account. Note: Core administrative attendance logs and student records maintained by the school for official academic compliance are governed by school policy and may be retained in accordance with state/national educational guidelines.

7. Data Sharing and Third Parties

We do not sell, lease, or trade personal parent/student data to advertising networks or third-party commercial services. Information is shared strictly between the parent mobile app and the parent school's secure server system at sigmakey.tech.
